Position Summary

  

The Specialist Invoice Reconciliation (SIR) will be responsible for all invoice reconciliation for their assigned clients.

  

Essential Job Duties and Responsibilities

  • All orders will be matched and reconciled in our system within one week of receiving the invoice
  • Any differences that will result in deduction are to be communicated to the Business Account Administrator (BAA) immediately (example: pricing or promotions).
  • Written explanation of discrepancy on the invoice/order
  • BAA will be notified of any cuts that are excessive or were not communicated prior to order shipment
  • Any obvious commission issues, should be communicated to the database team immediately
  • IRS will request or track down any missing invoices for that month prior to the accounting close for the month
  • The SIR will enter and reconcile any missing invoices for prior months if requested by the accounting department or cash application department
  • Invoice Reconciliation Specialist will keep an organized desk and files at all times
  • Principal profiles to be kept in the front of the Client manual and to be updated as needed, both in print and on the network drive
  • Invoices will be matched to orders and reconciled and filed within one week of being received
  • Files must be organized and easily accessible for deduction and billing purposes
  • The SIR will work with the Cash Application Department and the Data Base Team on commission and missing invoice issues

Minimum Qualifications

 

Education Level: (Required): High School Diploma or GED or equivalent experience

                           

Field of Study/Area of Experience: 

0-2 years of experience in applicable fields

 

Skills, Knowledge and Abilities

  • Well-organized, detail-oriented, and able to handle a fast-paced work environment
  • Team building Skills
  • Good written communication and verbal communication skills
  • Strong computer skills including proficiency with Microsoft Word, Excel, PowerPoint, Access, Outlook, and web-browsers

Environmental & Physical Requirements

Office / Sedentary Requirements

 

Incumbent must be able to perform the essential functions of the job.  Work is performed primarily in an office environment. Typically requires the ability to sit for extended periods of time (66%+ each day), ability to hear the telephone, ability to enter data on a computer and may also require the ability to lift up to 10 pounds.  A detailed Environmental and Physical Requirements document is available in the Total Rewards department.
